ClearHaven's agents were chasing hundreds of inbound property enquiries every week by hand. Slow replies, inconsistent follow-up, and no lead scoring meant high-intent buyers slipped through the cracks. Closings were taking twice as long as they should.

The Challenge
ClearHaven Properties was generating strong inbound demand from paid ads and organic search. The sales process could not keep pace. Every day, hundreds of enquiries landed across Meta, Google, and their website contact form. Agents triaged them by hand, sent templated emails, and hoped buyers would respond.
They rarely did.
High-intent buyers who did not hear back within an hour were already booking viewings with competitors. Leads that did receive follow-up got generic messages that ignored their stated preferences: budget, location, property type. The result was a bloated lead list, exhausted agents, and a closing cycle that stretched past 60 days.
ClearHaven needed a system that could respond instantly, qualify intelligently, and guide buyers from first enquiry to confirmed site visit without adding headcount.
Our Approach
1. AI Lead Qualification Agent
We built a Python-based AI agent backed by OpenAI that ingests every inbound enquiry the moment it arrives. The agent scores each lead against ClearHaven's ideal buyer profile: budget range, location intent, timeline, property type. It tags each lead as hot, warm, or nurture. Hot leads trigger immediate action. The rest enter tailored drip sequences with no manual effort.
2. WhatsApp Automation
For Indian property buyers, WhatsApp is the default channel. We wired the WhatsApp Business API into the pipeline so the AI agent reaches out within 90 seconds of enquiry submission. Conversations feel personal. The agent references the specific listing the buyer asked about, answers common questions, and surfaces two or three matching properties based on stated criteria.
3. Property Matching Engine
We built a lightweight matching engine that maps each qualified lead's preferences to ClearHaven's live inventory. When a strong match exists, the agent shares property details and a one-tap link to book a viewing slot directly into the sales team's calendar.
4. Paid Acquisition Strategy
We restructured ClearHaven's Meta and Google campaigns around bottom-of-funnel intent signals. We cut wasted spend on broad audiences and pointed budget at buyers actively searching in target micro-markets. Better traffic quality meant the AI pipeline converted more of what was already coming in.
5. Analytics Dashboard
A single dashboard tracks every stage of the funnel: lead source, qualification rate, viewing conversion, and deal progression. A side-by-side AI versus manual view shows the team exactly where the automation is creating value.
The Results
Ten weeks after go-live, measured across 1,200+ inbound leads:
- 200% more qualified viewings booked. The AI pipeline surfaced and converted buyers agents would have missed.
