Why Indian SMBs are systematically moving off Zapier to self-hosted or managed n8n

  • 0
task-execution caps on self-hosted n8n versus Zapier's per-task billing meter that quietly multiplies your bill the moment your workflows do anything actually useful

How a Naavim n8n engagement actually runs over fourteen working days

  1. 01

    Workflow audit and architecture document

Week one is mapping every existing automation in your current stack: Zapier zaps, Make.com scenarios, spreadsheet macros, Google Apps Script hacks, manual operations handoffs, and the unspoken rules your senior team carries in their heads. You walk out with a written architecture document covering what becomes an n8n workflow, what stays in your CRM as native logic, and what becomes a custom Gemini-powered node.

  2. 02

Build, host and document like real infrastructure

Production-grade workflows on our managed n8n instance (or your self-hosted box if you prefer). Every workflow is version-controlled in Git, error-handled with retries and exponential backoff, alert-routed to your Slack or Telegram, and documented in a README your ops team can actually read. WhatsApp routing, Razorpay payment events, Shopify webhooks, Tally exports, Google Sheets sync, all wired in week two.

  3. 03

Hand over with a 90-day maintenance window

Day 15 onwards: your ops team owns day-to-day workflow toggles, parameter changes and template edits; Naavim owns infrastructure uptime, monitoring and on-call response. Monthly review of workflow health, error rates, execution costs and roadmap. After 90 days you can renew the maintenance retainer at the standard rate or take it fully in-house with our handover playbook. Your call, no penalties either way.

Frequently asked questions

  • Should we self-host n8n on our own infrastructure or use the Naavim-managed instance?
Both options are on the table and we will recommend the right one based on your team. Self-hosted gives you maximum data control (workflows execute on your own DigitalOcean, AWS, GCP or on-prem box) and zero per-execution cost beyond compute. The Naavim-managed instance is faster to start, includes monitoring, backups, version snapshots and 24-hour on-call coverage, and is the right call for teams without a DevOps engineer on payroll. The typical path is to start on the managed instance and migrate to self-hosted at month 6-12 once your ops team is confident with n8n.
  • n8n vs Zapier vs Make.com: what does the cost math actually look like at 50,000 monthly executions?
Rough numbers for an Indian SMB at 50,000 monthly executions: Zapier Professional plan runs roughly ₹35,000-45,000 a month, Make.com Pro runs ₹18,000-22,000, the Naavim-managed n8n instance runs ₹8,000-12,000 covering infrastructure and monitoring, and self-hosted n8n runs ₹3,000-5,000 in compute-only. The Naavim build fee is one-time; Zapier and Make.com charge forever and keep raising tiers as you grow. Payback on the n8n migration build cost is typically 3-5 months for SMBs in the 20-50K execution range.
  • Who actually owns the workflows after the build: Naavim or our team?
Your team, on day 15 of the engagement. Every workflow is exported as version-controlled JSON in a GitHub or GitLab repository we transfer to your organisation under your account. The README documents inputs, outputs, dependencies, retry logic, alert routing and the documented failure mode for each workflow. If you ever fire us or take the work in-house, you keep the workflows running on your own infrastructure with zero dependency on Naavim and zero licence renewal trigger. This is contractually guaranteed in the SoW.
  • What is the SLA on workflow uptime, and what happens when n8n breaks at 2am?
Naavim-managed n8n instances ship with a 99.5% monthly uptime target, on-call response within 2 hours for P1 incidents and 8 working hours for P2. Workflows ship with retry logic (3 attempts with exponential backoff), dead-letter queues for permanent failures, and a quarantine workflow for poison messages. Critical workflows (payment processing, invoicing, customer-facing utility messages) ship with alerting into your Slack or Telegram so your team knows about a break before a customer or finance partner does.
  • Why n8n over Zapier or Make.com specifically for Indian SMBs in 2026?
Three reasons we put in writing on every audit. Cost: n8n is 60-80% cheaper at SMB scale per the math above and the gap widens as you grow. Data residency: self-hosted n8n keeps customer data on Indian infrastructure for DPDP Act 2023 comfort and audit readiness. Integration depth: n8n's code nodes let us build custom Indian connectors for Sell.do, Tranquil, Tally Prime, Razorpay edge cases and IndiaMart webhook formats that Zapier and Make.com simply do not natively support without expensive paid premium connectors.

Your monthly Zapier bill is a tax on every workflow you ever wanted to build but couldn't justify, and an even bigger tax on the team morale you spend explaining why you can't.

Twenty minutes on a call, fourteen working days to ship the migration with retries and alerts and version control. You own the workflows in your own Git repository on day fifteen. We run the infrastructure for as long as you want us to, no licence-renewal trap, no lock-in.
